Passengers¶
Passengers are the travellers associated with a booking. This guide covers adding, editing, and managing passenger details.
Viewing Passengers¶
On the booking detail page, click the Passengers tab. Passengers are listed with the lead passenger shown first, followed by others alphabetically.

Adding a Passenger¶
- Click Add Passenger.
- Enter the passenger's details:
- First Name (required)
- Last Name (required)
- Title (optional -- Mr, Mrs, Ms, etc.)
- Date of Birth (optional)
- Gender (optional)
- Nationality -- type to search, select from the country lookup
- Passport Number (optional)
- Passport Expiry (optional)
- Phone (optional)
- Email (optional)
- Check Lead Passenger to designate this person as the primary contact.
- Click Save.
Tip: When adding the first passenger, their details can be pre-filled from the customer profile if one was assigned to the booking.
Editing a Passenger¶
- Click Edit on the passenger row.
- Modify the desired fields.
- Click Save.
Setting the Lead Passenger¶
The lead passenger is the primary contact for the booking. Their details appear on vouchers and correspondence.
- Click Set Lead on any passenger row.
- The selected passenger becomes the lead; the previous lead flag is cleared automatically.
Only one passenger can be the lead at any time.
Removing a Passenger¶
- Click Remove on the passenger row.
- Confirm the removal.
- If the removed passenger was the lead, the booking's lead passenger reference is cleared. You should set a new lead passenger.
Passport Validation¶
Click Validate Passports on the Passengers tab to check all passengers' passport expiry dates against the booking's travel start date.
The system warns about any passports that:
- Are already expired
- Will expire within 6 months of the travel start date
Note: Many countries require passports to be valid for at least 6 months beyond the date of entry. This validation helps you catch potential issues early.
Group Booking Passenger Sync¶
When a booking is created from an outbound group sale, passengers are imported from the group's passenger list. Each passenger retains a groupPaxId cross-reference that links them back to the group record. This ensures that passenger data stays synchronized between the group and the individual booking.
